Security tag audit
Despite our best efforts, we have identified that one or more unauthorized individuals have gained access using one of our security tags. They have brazenly used these tags to enter the basement, and we recently discovered that, for the second time in just a few weeks, property has been stolen. We must take strong measures to ensure the security and safety of our building, your belongings, and your well-being.
To determine which tags were used and to disable these, we need to do a full security audit. We are very aware that this process is disruptive for many, but we unfortunately do not have another option.
For those residing in the building and for those with tenants:
- Please visit the building manager’s office before Friday 8 November 5 PM. Daily between 11.00 and 12.00 and between 16.00 and 17.00 trustees will be here to validate your security tags.
Please bring all tags you have, as those not validated will be disabled on Friday afternoon.
For those who are overseas:
- Please inform the managing agent of your next arrival with 1-weeks’ notice. We will ensure that someone is available when you arrive to give you access to the building and to make an appointment for the next day (or even same day, if possible) to validate your tags.
To owners leaving their keys in their mailboxes:
- Leaving your security tags in the mailboxes poses a significant security risk for everyone and makes it nearly impossible to maintain a secure building. The current tags will be collected by the Body Corporate and deactivated. Owners will be informed by the managing agent on the process for reclaiming them.
- Renting out a unit is solely the owner’s responsibility, including handling guest check-ins and key returns. This must not compromise the security of the building. Hout Bay has several service providers offering guest welcome and key management services. Please let us know if you would like recommendations for reliable options.
Because of the current issue, we are forced to put additional policies in place for security tag issuance and management, exceptions to which will require written trustee approval:
- Per unit, you may at maximum have 2 owner tags.
- Per unit, you may at maximum have 2 tenant tags.
- When issuing a new or replacement tag, all current tags must be revalidated. Failing to produce a tag means it will be disabled.
- Tags are personal and cannot be shared with others.
- Tags are not to be left behind in the mailboxes.
